The Role:

Administration Assistant - Receptionist

S&P Global Ratings Melbourne is looking for an organized, detail-oriented Administrative Assistant to provide administrative support to the Structured Finance, Ratings Risk Review & Editorial Teams

The Location :


The Team:

You will be a core team member of the Ratings Administration team providing high level admin support and ensure daily operation efficiency.

The Impact:

You have solid administration assistant experience from the financial services industry (preferable) and have prior experience supporting large teams. You are a detail-oriented individual and can work well under pressure.


  • Provide daily administrative support to the Analytical team Structured Finance, Ratings Risk Review and Editorial

  • Outlook Calendar scheduling and meeting bookings for teams; coordinate the arrangement of facilities such as meeting rooms, equipment, food & beverage etc.

    • Book & prepare team member s itineraries for domestic and international travel, including visas, flight - s, accommodation, car pickup - drop-off etc.
  • Book & facilitate video and audio conferences, including connectivity setup.

  • Create and update documents (presentations, letters, memos, databases etc.) within Microsoft PowerPoint Word, Outlook and Excel.

  • Collate and administer Travel & Expense (T&E) in Concur system for team members.

  • Facilitate events and team or company activities, as required.

    • Coordination with Communications team on any press releases or internal - external communication requirements.

    • Coordinate the onboarding - transfer - off boarding of staff in assigned area including assistance with IT setup - update - disable.

    • Manage meeting room bookings and calendar including coordination of department meetings and - or external client events.

  • Handle and respond to email correspondence and phone calls.

  • Handle photocopying, printing, mail and document distribution.

  • Reception relief as required.

    • Provide support on ad-hoc assignments or projects, and coverage to other analytical teams - business divisions.

What We re Looking For:

  • Bachelor degree in business or any related subjects (preferable)

  • Solid administrative assistant or executive assistant experience in other financial institutions supporting large teams

  • Possess excellent organizational and communication skills (oral and written)

  • Professional phone manner and demeanor and excellent interpersonal skills

  • Must be able to work in a fast-paced team environment and to work independently, as well as work on projects as required

  • Must have high level of interpersonal skills to handle sensitive and confidential situations

  • Proficient in XP Word, Excel, Outlook, PowerPoint, LinkedIn, SalesForce, Concur

  • Ability to multi-task and prioritize work as needed
