Executive Assistant

The Location:

Sao Paulo Brazil

The Team:

Administration Team is responsible for all administrative operations and events and provides support to the Brazil Office Head.

The Impact:

This role is for the Executive Assistant position for the Head of the LatAm region, interacting with senior management across the globe and within the range.

  • Provides executive assistance to Executive level.

  • Arranges business travel, coordinates meeting arrangements, travel agenda, hotel booking, flight tickets and transfers.

  • Meetings minutes and follow up.

  • PowerPoint and excel presentations.

  • Provides Logistic support Meetings, Vide conferences and phone calls.

  • Provides solutions to problems in situations that are atypical or infrequently occurring based on practice and existing precedents or procedures.

  • Maintain files, records and calendars updated.

  • May receive, screen and direct incoming calls, visitors, mail and email.

Basic Qualifications:

  • Advanced English and Advanced Spanish language command mandatory (fluent oral and written communication).

  • Extensive executive and administrative support experience is required.

  • Proven ability to apply discretion and maintain confidentiality on daily basis.

  • Ability to multi-task and maintain attention to detail.

  • Time management and outstanding organizational skills.

  • Proactive and problem solver

  • Professional, goal and detail oriented

Preferred Qualifications:

  • Bachelor s Degree or Professional Secretary Degree.

  • Organization of events work experience desirable.
